- How do I access AESOP (WESD’s automated substitute management system)?

Q: How do I access AESOP (WESD’s automated substitute management system)?
A: Via web www.aesoponline.com or phone 1.800.942.3767. If you have forgotten your ID or PIN click the Aesop login link then PIN Reminder and follow instructions to have your information sent via email.
Q: I have followed the instructions for logging in. Why are my ID and PIN not working?
A: Your information may not be in the AESOP system yet. Please allow up to 2 weeks for your profile to become active. If it has been more than two weeks and you are still unable to log on call 503.540.4433.
Q. I just registered but I am not in the system yet, can I still sub if a school needs me right away?
A. You can let the school know you are registered and waiting to be entered in the system, they will make the final decision on whether or not you can work before you are active in the system.
Q: I am no longer available as a substitute. How do I remove my name from WESD’s list?
A: Email subregistration@wesd.org and request that your name be removed from the list.
Q: If I know in advance that I will be unavailable for work, how do I block out the date(s) on my schedule?
A: Select “Add Non-Work Day” link on your AESOP homepage. Choose the date range and save. You will not be called to work on the selected date(s). Non-work days will show yellow on your interactive calendar.
Q: I need to cancel an upcoming assignment, what do I do?
A: Select the corresponding date on the interactive calendar or “View My Schedule” link on your homepage. Click the trash can next to the confirmation number to cancel out of the job. As a courtesy you should also contact the school.
Q: I only want to work pre-arranged jobs. How do I stop getting automated calls for jobs?
A: Select “Tell AESOP When to Call” on your homepage. Click “I prefer not to be called by AESOP”, then click next. You will no longer receive automated calls from AESOP. You will still be able to work for districts if they call you personally.
Q: I don’t mind getting calls from AESOP but how can I control the hours and days I receive calls?
A: Select “Tell AESOP When to Call” on your homepage. Click “Specify call times” or “Specify call days” and click next. Select the specific times or dates and then click on “Apply Changes”.
Q: I am a new substitute and I have not seen many available jobs. Am I doing something wrong?
A: New subs may not have access to a lot of jobs at first. The best time to find available jobs when you are new is early in the morning or late in the evening. Last minute absences can be frustrating for the schools to fill. Many preferred subs are already busy working. It is a great time for new subs to become known. When you work for a new district it is a chance to make a good first impression! When you feel good about an assignment chances are the students and teacher will too. You are more likely to be put on and/or given priority on a preference list.
Q: I do not feel that I am getting enough calls to work. How can I increase my availability?
A: If you have been on the substitute list before and are not accessing as many jobs, try modifying your “Preferred Schools” list. Choose the link from your homepage and follow the instructions. You will be able to tell AESOP the schools you do or do not want to see jobs for. If you have not done this you may be limiting the schools that you have access to. You can also contact AESOP administration at 503.540.4433 and request to be made available for additional districts than those you originally signed up for.
Q: How can I see jobs only at the elementary schools in the districts I have access to?
A: Modify your “Preferred Schools” list. Choose that link from your homepage and follow the instructions. You will then be able to tell AESOP the schools you do or do not want to see jobs for.
Q: When are my timesheets due?
A: Each district has its own payroll timelines. Contact the district(s) you have worked in for specific dates. Substitutes that work for Willamette ESD Special Programs need to have timesheets in by the 5th of the month. Note: In order avoid delays in your pay you should be asked to fill out a W-4 and an I-9 form the first time you substitute in a district. If you are not given one – ask!
